Reports directly to the principal and office manager Responsible for confidential and time-sensitive material Ability to effectively communicate via phone and email, ensuring that Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner Provides general office support which may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, processing expense reports, and maintaining electronic and hard copy filing systems Schedules work, establishes priorities, and ensures deadlines are met Follow through on tasks to successful completion, often with deadline pressures Responsible for maintaining day-to-day business operational processes and systems that support the faculty and clients Place orders for office equipment or business needs Responsible for maintaining day-to-day business operational processes and systems that support the faculty and clients Coordinate and schedule meetings (virtual and in-person) and prepare meeting agendas Assist with onboarding procedures for new employees Updating and managing the company's website Help with staffing, including finding staff when employees call out on short notice Other duties as assigned
Qualifications
Able to work in-person Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education Minimum Experience: 3 Years Minimum Field of Expertise Bilingual in English and Chinese One to two years of clerical experience; or any satisfactory combination of experience and training which demonstrates the knowledge, skills, and abilities to perform the duties Creative and innovative, with the ability to multitask and problem solve quickly Able to make independent decisions on a daily basis, addressing the best way to handle specific tasks Attendance/Punctuality - is consistently at work and on time Excellent attention to detail and follow-through
